Job Description

The Proposal Coordinator is responsible for reviewing residential audits and review and make recommendations and issue Work Orders for energy efficiency measures to be installed. This includes preparing and submitting Requests for Additional Spends to CMC clients for review and approval. This position will be responsible for creating proposals for additional deeper measure work beyond the spending allowance for their respective programs. This individual will have daily interaction with program office staff, Technicians, management, Utility clients, vendors and subcontractors

Job Responsibilities

1. Program Support

  • Create reports, validate and/or compile data and other materials (e.g., marketing) necessary for program administration or services rendered.

  • Review documents and information for quality purposes to support programs or services offered.

  • Track and/or enter information using multiple databases or financial systems as appropriate.

  • Act as a liaison with other departments to ensure consistency and adherence to deadlines.

  • Assist with training others on the use of systems, tools, and templates.

  • Follow up via phone and email with project contacts on a regular basis to verify project data.

2. Coordinate Process Activities

  • Provide input for process improvements.

  • Implement new and enhanced processes as directed.

  • Review processes to ensure standards are met for programs or services offered.

3. Workgroup Participation

  • Actively participate as a member of assigned workgroups.

4. Project Tracking

  • Track project progress as required by the utility.

5. Reporting

  • Prepare, maintain, and distribute reports as directed.

6. Data & Document Creation

  • Design and develop spreadsheets, forms, and presentations as directed.

7. Meeting Support

  • Attend weekly team meetings and record minutes.

8. Cross-Departmental Support

  • Provide program support for other departments and projects as needed.

9. Other Duties

  • Perform additional tasks as assigned.

Qualifications

1. Bachelor’s degree in business, data sciences or equivalent.
2. 3-5 years prior experience as a program coordinator (or similar).
3. Strong organizational, time-management, critical thinking, administrative and organizational skills.
4. Knowledgeable of residential energy savings programs.
5. Technically knowledgeable of typical residential energy savings measures, common barriers to work and prioritization of energy savings measures.
6. Ability to perform initial review of all proposed work scopes.
7. Ability to work with other team members to ensure prompt execution of work orders.
8. Ability to support administrative team to ensure deeper measure proposals are reviewed, 
submitted and upon Utility approval are completed in a timely manner. 
9. Proficient with Microsoft Office Suite and experience with Excel and navigating databases.
10. Ability to communicate clearly and effectively, in speech and writing, with customers, staff, managers, supervisors, contractors and clients.
11. Ability to think quickly & make good judgement decisions
12. A team player with the ability to work independently
13. Resourcefulness to meet tight deadlines and flexibility with fluctuating priorities.
14. Conduct work in compliance with OSHA and company safety procedures.
15. Perform the essential functions and physical demands of the position with or without accommodation

1. Consistently spending time sitting, typing, talking, walking and using repetitive motion.
2. Frequent use of eye, hand, and finger coordination enabling the use of automated office machinery, such as a compute Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
3. Visual capacity enabling frequent use of computer equipment.
4. Sedentary work: ability to exert up to 10 pounds of force to lift, carry, push, pull or otherwise move objects.
