Job Description
The Program Support Manager is responsible for the day-to-day activities of the Program Specialists. This position will also provide inventory program support and equipment maintenance. The Program Support Manager will routinely perform data entry, reconciliation, reporting, invoicing and overall program administrative support as directed by management.
Job Responsibilities
- Work closely with program management to develop an understanding of the administrative processes and procedures that drive the program(s). Including executing strategies to meet or exceed client goals.
- Ensure that the program support team(s) are providing the appropriate level of assistance to process, verify, generate and reconcile expenses, work orders, invoices, and technician and contractor data. Responsible for the timeliness of processing, accuracy and completeness of all data support tasks.
- Manage, coach and mentor direct reports to ensure staff is performing effectively and at their highest potential to achieve program and company organizational goals. This includes interviewing, planning, assigning, compleying performance evaluayions, coaching, and directing work.
- Oversee the program support team(s) to ensure that the review, tracking and completion of assigned work is executed in alignment with program and contractual requirements.
- Oversee the management of in-house and subcontracted technicians to ensure implementation of assigned work is being executed within the specified timeframe as defined by program management.
- Collaborate with program management and program support supervisory team(s) to foster continual development of processes and procedures to ensure successful operations.
- Assist program management with the tracking and reporting of program performance against CMC and client goals as it relates to financial performance, energy savings, quality assurance, and customer service targets.
- Oversee the scheduling and production KPIs for assessment, quality assurance, and/or in-house field operations in accordance with program and contractual requirements.
- Collaborate with internal business units and/or external clients to assist program management in the successful implementation of program deliverables.
- Perform other duties as assigned.
Qualifications
1. Bachelor’s degree or equivalent experience, preferably in a related field.
2. 3-5 years’ prior supervisory experience preferred.
3. 3-5 years’ energy industry experience preferred.
4. BPI Building Analyst and Envelope certifications preferred
5. BPI Building Science Principles. Building Analyst Certification, a plus.
6. Other certifications may be required by utility.
7. Experience in the energy efficiency industry and/or field operations support preferred.
8. Demonstrated ability to supervise, analyze, manage time, set priorities, make decisions, manage
conflict, resolve disputes, and work constructively as part of a team.
9. Strong supervision skills to lead, direct, coach and mentor. Prior supervisory and project
management experience required.
10. Strong organizational, problem solving and prioritization skills necessary.
11. Excellent analytical, personal and interpersonal skills.
12. Strong attention to detail.
13. Ability to communicate clearly and effectively, in speech and writing, with customers, staff,
managers, supervisors, contractors and clients.
14. Resourcefulness to meet tight deadlines and flexibility with fluctuating priorities.
15. Ability to handle confidential information with the highest level of integrity and ethics.
16. Ability to quickly understand new software and hardware.
17. Proficiency in Microsoft Office Suite, Excel and Acrobat Pro.
