A leading mechanical contracting firm serving commercial/industrial/institutional clients is seeking an experienced Administrative Assistant for their busy HVAC Division.

Job Description

  • Certified Payroll (PW) Submissions
  • Monitor & Complete ISNetworld (ISN) Requests
  • Familiarity with Certifications for: DPMC (NJ Department of Property Management and Construction), SDA (NJ Schools Development Authority), PWCR (Public Works Contractor Registration) & OSHA Requirements
  • Assist project managers with submittals and approval documents
  • Track project documents on a daily basis
  • Assist in drawing and specification updates and change control documents
  • Assemble closeout documents at project completion
  • Complete Permits, follow up with Building Departments and Schedule Inspections


  • Candidate must have a minimum of 3 years experience with commercial/industrial mechanical contractor or other construction-related firm
  • Detail-oriented self-starter with strong verbal and written communication skills
  • Ability to work with three project managers simultaneously
  • Proficiency in MS Outlook, Word, & Excel
  • Candidate will use internet to search for materials
  • Candidate will issue purchase orders and subcontracts as directed by the project managers
  • Experience in construction-oriented data base software a must
